Congratulations, graduates!

Convocation is an exhilarating time for graduating students and their supporters. It is an opportunity to gather and celebrate student success along with classmates, friends, family, professors and members of the Georgian College community. These pages will provide you with information designed to make your convocation experience simple and enjoyable.

We are honoured to be a part of your convocation ceremony and hope you find it to be a happy and memorable experience.

Checklist

  • Ensure that your grades are entered correctly on your Banner account
  • Ensure all outstanding fees and fines are paid in full, and all outstanding book/equipment rentals have been cleared
  • Verify that your name and address are correct on your Banner account
  • Apply to graduate on your Banner account
  • Ensure you receive a letter in the mail with detailed instructions and tickets
  • Enjoy your convocation day and congratulations, you deserve it!

The ceremony

All ceremonies will be held in the gymnasium and usually last no more than two hours. Out of respect for other graduates and guests, plan to stay for the entire ceremony.

Once the graduand procession is complete, the ceremony will consist of the following:

  • National anthem/welcome drumming
  • Opening remarks
  • Presentation of credentials
  • Proclamation
  • Alumni charge
  • Address to graduates
  • Alumni Association reception

Attire

Most graduates find that the room gets very warm, and are most comfortable in business casual wear. Graduation regalia is provided by the college and will be worn over regular clothing by all graduates.

Georgian College cannot take responsibility for personal belongings at the ceremony. Please leave all purses and valuables with your guests.

Length of ceremony

The ceremony lasts approximately one and a half to two hours. Live streaming of the ceremony will be available on the Georgian College website for those unable to attend.

Personal items

Items such as flowers, purses, and camera should be left with your family and friends.

Guest information

Seating

Tickets are distributed to graduates based on the number of seats available to each ceremony location.

Seating is available on a first-come, first-served basis and is general seating. Tickets are required for admittance to the convocation ceremony.

Arrival time

Guests should plan to arrive one hour prior to the ceremony and be seated no less than 15 minutes prior to the ceremony’s scheduled start. If you wish to be seated together, ensure you arrive together. Guests who arrive late may find that seating is not available. Out of respect for all ceremony attendees, we ask that you remain seated until the end of the ceremony.

Dress code

There is no formal dress code enforced, though most guests opt to dress business casual. If you are carrying a cell phone, please ensure the ringer is turned off.

Children

Convocation is for the whole family. A typical ceremony usually lasts approximately two hours, and young children may find it difficult to sit quietly for the duration of the ceremony. There are no daycare facilities available for this event.

Photography

A professional photographer will be on site to offer graduate portraits. No appointment is required. There is a $15.00 (cash) sitting fee and many portrait packages to choose from.

Food and drinks

Food and drinks are not permitted in the convocation ceremony, with the exception of bottled water. You are invited to a reception following the ceremony where light refreshments will be available.

Guest who require special accommodations

The facility is wheelchair accessible. If you are using a wheelchair, or require any additional special accommodations, please contact Tricia Hayden at least two weeks prior to the convocation. We will do our best to accommodate your needs.

Flowers

Surprise your graduate with a bouquet of flowers. Flowers are available for purchase at all convocation ceremonies. You may also purchase flowers online in advance for convocations located in Barrie or Orillia through ConvocationFlowers.ca,, one of our Alumni Association partners.

Gifts and diploma frames

Visit Georgian Stores to preview gifts and frames.

Barrie: Bear Essentials has a great choice of clothing, grad rings, gifts and diploma frames available for purchase.

Orillia and Owen Sound campuses: Signage will direct you to Bear Essentials.

Convocation

Faculty information

The academic procession assembles 30 minutes prior to the ceremony. If you will be attending the convocation ceremony please email us or call 705.728.1968, ext. 1727 two weeks prior to convocation to reserve seating in the faculty area.

Reception

A reception will follow immediately at the conclusion on the convocation ceremony. We encourage all faculty to attend to meet with the graduates and their families.

Important

  • To attend convocation, you must submit a Request to graduate form by the deadline (see important graduation dates).
  • You will receive a letter in the mail regarding your graduate status and tickets for guests. Please note: We are not able to issue additional tickets due to space constraints.
  • Please arrive on time for graduate check-in.
  • Gowns are provided free of charge.
  • Convocations for students at the Midland, Muskoka, Orangeville and South Georgian Bay campuses will take place at the Barrie Campus.

At Georgian College, we respect the need to protect personal information. Pursuant to section 39(2) of the Freedom of Information and Protection of Privacy Act (FIPPA), students’ images, names, program, degree/diploma/certificate earned and year of graduation as they appear in convocation programs and in webcasts are considered public information. Participants acknowledge that by attending convocation, their imagine and/or voice may be captured by photograph, videotape, audiotape, live webcasting and otherwise reproduced during the ceremonies. This personal information is collected under the legal authority of the Ontario Colleges of Applied Arts and Technology Act, 2002 and in accordance with Sections 38(2) and 41(1) of FIPPA.

Personal information will be broadcast through live webcasting for the purposed of enabling individuals who are unable to attend convocation to view the ceremonies. Any information captured through photograph, videotape or audiotape may be used for promotional, administrative, educational or research purposes. Personal information may be disclosed to outside service providers for processing and production. If you have any questions about the collection of personal information by Georgian College during convocation, please contact the Office of the Registrar by telephone at 705.728.1968 or email. I don’t want to attend the ceremony. Do I still need to submit a form?

Yes. To update our records and produce your credential (diploma, certificate, or degree, etc.), we need to review your graduation requirements. Submitting the request to graduate form will allow us to do that.

What happens if I submit the form after the deadline?

You will not be able to attend the upcoming convocation ceremony. We will review your graduation requirements after the convocation. If you would still like to attend a ceremony, you may attend the next convocation ceremony.

When will I get my credential (certificate, diploma, or degree, etc.)?

if you are attending convocation, you will receive your credential at the ceremony. If you miss the convocation ceremony or if you choose to have your credential mailed, it will be sent out in the weeks following the convocation ceremonies. If you are picking up your credential, it will be available the day following convocation. Credentials are not released before convocation.

If you do not collect your credential within two weeks of the ceremony, it will be mailed to the address on file.

What time should I arrive for the convocation ceremony?

You must arrive ONE HOUR prior to the start of convocation to register and receive a gown.

How will I know when I’ve been declared a graduate?

You will receive a letter in the mail indicating your graduate status. If you stated you would attend the ceremony on your form, you will receive guest tickets along with your letter. Please make sure your address is up to date with the Office of the Registrar.

What if I owe fees?

You may attend the convocation ceremony but we are not able to release your credential or transcripts until you have paid all outstanding fees. After your balance has been paid, please contact the Office of the Registrar to get your credential.

My name is incorrect on my Banner account, what do I do?

To view your name as it is recorded with the college, please log in to Banner (Georgian’s student information system). Your name will appear on your diploma as recorded on our system. If you notice a discrepancy, please bring proper identification (birth certificate, marriage certificate) to the Office of the Registrar to have the problem rectified.
