Graduation information for Georgian College graduates, students and guests

Convocation is an exhilarating time for graduating students and those who care about them. Your convocation ceremony will be both an event recognizing time-honoured tradition and the anticipation of an exciting new future. It is an opportunity for faculty, deans and the Board of Governors to gather and celebrate student success, along with friends and family members. These pages have been designed to provide you with information to make your convocation experience simple and enjoyable. They also provide contact information so you can get more information if you require it.

We are honoured to be a part of your convocation ceremony and hope you find it to be a happy and memorable experience.

Fill out your request to graduate form, save the file and email it as an attachment to graduation@georgiancollege.ca. Alternatively, you may submit it by fax, mail or in person.

Submit your request to graduate when you are in your final semester (classes or co-op placement). You should do so by the deadlines listed below:

I don’t want to attend the ceremony. Do I still need to submit a form?

Yes. In order to update our records and produce your credential (diploma, certificate, or degree, etc.), we need to review your graduation requirements. Submitting the request to graduate form will allow us to do that.

What happens if I don’t submit the form?

  • You will not receive your credential
  • Your transcript will not show that you graduated
  • When employers verify your education, our records will show that you didn’t graduate
  • You will not be recognized as an alumna/alumnus of Georgian College

What happens if I submit the form late?

You will not be able to attend the upcoming convocation ceremony. If you do not want to attend, we will review your graduation requirements after convocation. Updating your student record will be delayed, as will receipt of your credential. If you would still like to attend a ceremony, you may attend the next convocation ceremony.

When will I get my credential (certificate, diploma, or degree, etc.)?

If you are attending convocation, you will receive your credential at the ceremony. If you miss the convocation ceremony or if you choose to have your credential mailed, it will be sent out in the weeks following the convocation ceremonies. If you are picking up your credential, we will call you when it is available. Credentials are not released before convocation.

How will I know when I’ve been declared a graduate?

You will receive a letter in the mail indicating your graduate status. If you stated you would attend the ceremony on your form, you will receive guest tickets along with your letter. Please make sure your address is up to date with the Office of the Registrar.

What if I owe fees?

You may attend the convocation ceremony but we are not able to release your credential or transcripts until you have paid all outstanding fees. After your balance has been paid, please contact the Office of the Registrar to get your credential.

What if I have further questions about graduation?

Important information

  1. In order to attend convocation, you must submit a request to graduate form by the deadline (see important graduation dates).
  2. You will receive a letter in the mail regarding your graduate status and three tickets for guests. Please note: we are not able to issue additional tickets due to space constraints.
  3. Arrive on time for graduate check-in.
  4. Gowns are provided free of charge.
  5. Convocations for students at the Midland, Muskoka, Orangeville and South Georgian Bay campuses will take place at the Barrie Campus.

The Georgian College community gathers to celebrate the awarding of degrees, diplomas and certificates at convocation. As a family member or friend of one of our graduates, Georgian welcomes you.

Tickets are distributed to graduates based on the number of seats available at each ceremony location. Additional tickets are not available due to fire code regulations on maximum capacity seating. TICKETS ARE REQUIRED FOR ADMITTANCE TO THE CONVOCATION CEREMONY. Guests who are unable to attend may view the ceremony live over the internet on the Streaming tab.

Guests should arrive one hour prior to the ceremony in order to be seated for convocation. Guests who arrive late may find that seating is not available. Out of respect for all ceremony attendees, we ask that you remain until the end of the ceremony.

Semi-formal or business attire is appropriate for convocation ceremonies. If you are carrying a cell phone, please ensure the ringer is turned off.

Food and drinks are not permitted in the convocation ceremony, with the exception of bottled water. You are invited to a reception following the ceremony where light refreshments will be available.

GradImages will be on site to capture special moments from the ceremony, including the moment your graduate crosses the stage. Proofs are emailed to graduates after the ceremony. You can pre-register for photos at www.gradimages.ca.

Lassman Studios may be on site to capture seated graduation portraits. To schedule a sitting, visit www.lassmanstudios.com and enter School ID gc13.

All ceremonies will be held in the gymnasium and usually last two to three hours. Out of respect for other graduates and guests, plan to stay for the entire ceremony.

Graduate check-in

Please arrive at the gowning room on-time for graduate check-in and gown fitting. You will be given a card upon check-in. This card will have your name and program information for the orator to read as you cross the stage. Keep this card with you at all times.

Gowning

After you check-in, you will go to the gowning room where you will sign for your gown and liripipe or hood. The college lends gowns to graduates for use during the ceremony. Please return your regalia to the gowning room promptly (within 30 minutes of the ceremony ending). You must sign your gown back in at the gowning room. Any student not returning his/her regalia will be billed for its replacement.

Procession and marshalling

Once you have your name card and academic regalia, find the sign with your program name and line up with your classmates. Please place yourself in alphabetical lines, by program, to form the processional.

The procession will depart 15 minutes prior to the ceremony beginning. You will be led into the gym behind the platform party and faculty. Please remain standing for the singing of the national anthem.

The program will continue with speeches by the President or Vice President, Board of Governors and alumni.

Presentation of certificates and diplomas

On a signal from the marshal, the graduands will proceed, one row at a time, to the stage (students are graduands until they cross the stage to become graduates). As each graduand’s name is read, he/she will cross the stage to shake hands with the President / Vice President and representative of the Board of Governors. He/she will then receive an envelope from the program Dean, officially becoming a graduate. The marshalls will direct graduates to receive their actual credential off-stage and then be escorted directly back to their seats.

This process will continue until all graduates have been called. For the enjoyment of everyone, we ask that movement and talking be kept to a minimum during the ceremony to show respect for all names called.

Conclusion

At the end of the ceremony, the platform party will lead the recession, followed by faculty and graduates, to the convocation reception. Guests may follow after the graduates.

Convocation reception

All graduates and their guests are cordially invited to a reception following the convocation ceremony. You should arrange to meet your guests in this area.

Gown return

Please return your gown to the gowning room promptly and sign it back in to avoid being charged for its replacement.

Your academic dress will depend on the certificate, diploma, or degree you’ll be receiving. Graduands (students about to graduate) receiving a certificate wear a gown. Graduands receiving an Ontario College Certificate, Ontario College Diploma or Ontario College Advanced Diploma wear a liripipe and gown. Graduands receiving a degree wear a hood and gown. The staff in the gowning room will provide the appropriate academic dress, which is to be worn over your regular clothes for the duration of the ceremony.

Most graduates find that the room gets very warm so are most comfortable in business casual wear although you may want to skip the jacket or leave it with guests.

Please note: graduates will not be allowed to carry anything with them into the gymnasium (i.e. cell phones, cameras, purses). Please leave all valuables with guests.

Feel free to use the gown for photo opportunities following the ceremony, but they must be returned to the gowning room within one half hour after the conclusion of the ceremony.

Verify the name which will appear on your credential. To view your name as it is recorded with the College, please log into the student record system (Banner). Your name will appear on your diploma as recorded on our system. If you notice a discrepancy, please bring proper identification (birth certificate, marriage certificate) to the Office of the Registrar to have the problem rectified.

Ensure that your mailing address on file in the Office of the Registrar is correct. Access to view your address record is also available on the web based student information system (Banner).

Ensure that all outstanding fees, fines, books and/or equipment are settled. Failure to do so will result in the College withholding your diploma. Once you have paid your outstanding balance, be sure to contact the Office of the Registrar to have any holds removed.

Ensure that your grades are recorded and accurate on your student record. You can print an unofficial transcript off Banner.

You will receive a letter in the mail with instructions and tickets to the ceremony. If you have not received this letter a week before the ceremony, please contact the Office of the Registrar at (705) 722-1511.

If you do not plan on attending, please indicate on your Request to Graduate form how you would like to receive your diploma.

It can be:

  1. Mailed to you after the ceremony (make sure your address is correct).
  2. Held for pick up after the ceremony. Photo ID will be required. If you are sending someone to pick it up for you, you need to send them with a letter of authorization signed by you. They will need their own photo ID as well.
  3. Couriered to you (at a cost).

If you had planned to attend but did not end up coming to the ceremony, your credential will be mailed to you after the ceremony.

When you graduate, you automatically become a member of the Georgian College Alumni Association. You are now a part of a group of 60,000 strong and growing!

Unfortunately, due to fire regulations, we are not able to issue extra tickets to any graduate. If you need more tickets, you are welcome to use extras from another student set to attend the same ceremony.  Guests that arrive without tickets will need to wait to be seated, if seats become available.

Tickets will be mailed to the address we have on file for you, along with a letter verifying your graduate status. The number of tickets depend on the space available. If you have not received tickets one week prior to your convocation ceremony, contact graduation@georgiancollege.ca or call the Office of the Registrar at (705) 722-1511.

You can purchase flowers for your special graduate one of two ways – in person at the ceremony or in advance for Barrie and Orillia through Convocation Flowers.
