Convocation is an exciting time for graduating students and their supporters. It is an opportunity to gather and celebrate student success along with classmates, friends, family, instructors and members of the Georgian College community. This page will provide you with information to make your convocation experience simple and enjoyable.

Did you know that graduation and convocation are not the same event?

Graduation is when a student meets the requirements of their program, whether it be a certificate, diploma, degree, etc. Not all students who graduate choose to attend convocation.

Convocation is the large formal celebratory ceremony at which all graduates are individually recognized for their academic achievements. Convocation ceremonies at Georgian College are held twice a year – in June and October. Typically, students convocate at the ceremony nearest their last term of study.

Important: In order for you to receive your credential, you must apply to graduate whether you choose to attend convocation or not. Please visit the Apply to graduate tab on this page for further information.

If you are a full-time student who expects to fulfil all of your program requirements, you are required to apply to graduate online through Banner – even if you do not plan on attending convocation.

If you are a part-time or continuing education student requesting your credentials, please contact the Convocation team to complete a paper application.

  3. Click on Apply to Graduate
  4. Follow the prompts
  5. Please make sure you update your email address  when prompted to so we can stay in touch with you
  6. Watch for a confirmation email

Frequently asked questions

When do I request to graduate? What are the deadlines?

There are three graduation cycles at Georgian College:

  1. Students who are in their last semester of study in September-December: Request to graduate between Nov. 1 and May 15
  2. Students who are in their last semester of study in January-April: Request to graduate between Jan. 1 and May 15
  3. Students who are in their last semester of study in May-August: Request to graduate between July 1 and Sept. 15

The Apply to graduate application is closed from May 16 to June 30 and Sept. 16 – Oct. 30 as the Convocation team prepares for the convocation ceremonies.

What happens after I apply to graduate?

After your application is received, it is entered into our convocation queue to be reviewed after final grades are received by your academic area. Your application is reviewed individually to ensure you have met the graduation requirements of your program (required courses, co-op hours, placement, etc.). This process is called a graduation audit. Once the graduation audit is completed, you will be deemed either a graduate or a non-graduate. You will then be notified of your next steps.

Due to the high volume of applications received, this process can take up to six weeks after the end of the semester. You can help speed up this process by ensuring that all your academic records in Banner are up-to-date, including exemptions, PLARs, final academic records, independent study grades, final co-op work-term grades, internship grades, all fines/fees are paid, etc.

Graduate status
As soon as we have completed your graduation audit, you will receive an email or letter indicating the results. You will also be able to see your graduate status on your unofficial transcript in Banner. Please make sure both your email and mailing addresses are up-to-date with the Convocation team. If you require an official copy of your transcript, please fill out and email this form to Records and Registration staff.
If you were deemed a non-graduate (i.e., you have not met your program graduation requirements) and you have questions, please contact email Records and Registration staff.

What happens if I miss the deadline to apply to graduate?

Students who miss the deadline are still required to apply to graduate when the application site reopens as per the dates above.

If you wish to attend a ceremony: Apply to graduate for the next possible convocation period (June or October). You will receive your credential at the convocation ceremony. Convocation ceremonies are held twice a year at Georgian College – in June and October.

If you do not wish to attend a ceremony: Apply to graduate for the next available convocation period. Your student record will be assessed approximately six weeks after final grades are entered and your credential will be mailed to you to the address on file after the ceremony

I finish my program in December 2016 and the next convocation is in June – what are my options?

There are two options for students completing their programs in December:

  1. Apply to graduate for the fall 2016 term. This will allow you to receive your credential once you are deemed a graduate. You will NOT be invited to a convocation ceremony
  2. Apply to graduate for the winter 2017 term. This will allow you to receive your credential at the June convocation ceremony. Your graduate status will be included on your transcript should you need proof prior to receiving your credential in June

I don’t want to attend a convocation ceremony – do I still need to apply to graduate?

Yes. To update our records and produce your credential, we need to review your graduation requirements. Applying to graduate is our prompt to begin this process for you.

I noticed my name or contact information is incorrect in Banner – what do I do?

If you notice a discrepancy in the spelling of your name, please bring proper identification (i.e., birth certificate or marriage certificate) to the Office of the Registrar or email us today.
If you notice a discrepancy in your contact information, please complete the online change of address form.

When will I get my credential?

If you are attending convocation you will receive your credential at the ceremony. If you are not attending, or miss the ceremony, your credential will be held at the Registrar’s Office Barrie Campus for two weeks after convocation to allow you to pick up your credential if you choose to. After two weeks, all remaining credentials will be mailed out to the address on file. Please allow three to six weeks for delivery after the convocation ceremony date to receive your credential in the mail.

Credentials will not be released before convocation.

Written permission from the student is mandatory if a friend or family member is picking up your credential on your behalf. The written permission must also include the name of the individual picking up the credential and photo ID will be requested. Please contact us to make arrangements.

What if Banner does not show me the program I want to graduate from?

If you are unable to view the program you’d like to apply to graduate from, please contact the convocation team.


  • Ensure that your grades are entered correctly on your Banner account. Contact your co-ordinator if you notice discrepancies
  • Ensure all outstanding fees and fines are paid in full, and all outstanding book/equipment rentals have been cleared
    • If you owe fees or parking fines, or if you have outstanding rentals or library books, you may attend the convocation ceremony but we are not able to release your credential or transcript until your account has been cleared
    • In addition, we cannot produce an enrolment letter or release your name to an external third party (i.e. for board exams)
  • Verify that your name and address are correct on your Banner account
  • Apply to graduate through your Banner account
  • Ensure you receive a confirmation email or letter that you’ve successfully been deemed a graduate


Students are asked to arrive 45 to 90 minutes prior to the start of the convocation to register, check in and receive your gown. The gowning room locations can be found on the Ceremony dates tab.

Students do not require a ticket to their own convocation.

The ceremony

All ceremonies last approximately one to two hours, depending on the number of graduates. Out of respect for other graduates and their guests, please plan to stay for the entire ceremony. Ceremony locations can be found on the Ceremony dates tab.

The Georgian College Alumni Association proudly sponsors a graduation reception immediately following the ceremony.


Most graduates find that the room gets very warm. Please plan your wardrobe accordingly. Be sure to wear comfortable shoes because there is a lot of standing and walking involved with convocation. Convocation regalia is provided by the college free of charge and will be worn over regular clothing by all graduates.

Georgian College cannot take responsibility for personal belongings at the ceremony. Please leave all purses and valuables with your guests.

Tickets and seating

Tickets are distributed to graduates based on the number of seats available to each ceremony location. Tickets are required for admittance to the convocation ceremony. Additional tickets will not be available.

Tickets are free, hold no face value and are non-transferable.

Seating in Orillia and Owen Sound is available on a first-come, first-served basis and is general seating.

Seating in Barrie is available on a first-come, first-served basis. Due to venue size and number of guests, seats are not guaranteed at the Barrie Campus convocations and guests may be asked to move down a few seats to accommodate all guests.

Graduating students do not need a ticket to their own convocation.

Due to fire regulation, children of all ages, with the exception of infants (carried or in a stroller), must have their own ticket to be admitted. Toddler/child lap seating is not permitted.

Arrival time

Doors open one hour prior to the scheduled start time. Guests should be seated no less than 15 minutes prior to the start time. Guests who arrive late may find that seating is not available.


We will do our best to accommodate your needs upon your arrival. Our facilities are wheelchair accessible.


A typical ceremony usually lasts approximately two hours in which young children may find it difficult to sit quietly for the duration. Children who are attending must be supervised by an adult in the audience. Children are not permitted to sit with the graduating student, nor are they permitted to cross the stage with the graduating student.

There are no daycare facilities available for this event.


The Convocation Team hires Life Touch Photography, a professional photography company, to take photos of all graduates as they cross the stage as well as a posed photo back stage. Proofs will be emailed and mailed to the students two to four weeks after the ceremony. A variety of package are available directly though Life Touch Photography.

The Georgian College Students’ Association (GCSA) invites Lassman Studios on campus for portrait sittings in advance of convocation. Please visit Lassman Studios Photography and enter Georgian as your school ID to book your photo session. Photographs can be views and entered online.

Food and drinks

Food and drinks are not permitted in the convocation ceremony, with the exception of bottled water. You are invited to the Alumni Reception following the ceremony where light refreshments will be available.

Flowers, gifts and diploma frames

Surprise your graduate with a bouquet of flowers. Flowers are available for purchase at all convocation ceremonies. You may also purchase flowers online in advance for convocations located in Barrie or Orillia through, one of our Alumni Association partners.

Bear Essentials has a great choice of clothing, grad rings, gifts and diploma frames available for purchase.

The academic procession assembles 30 minutes prior to the ceremony. If you will be attending the convocation ceremony, please email us or call 705.728.1968, ext. 1727 two weeks prior to convocation to reserve seating in the faculty area. When you reserve your seat, you will receive information on faculty gowning.

Faculty members are expected to remain for the entire duration of the ceremony.

We encourage all faculty to attend the alumni reception following the ceremony to meet with the graduates and their supporters.

At Georgian College, we respect the need to protect personal information. Pursuant to section 39(2) of the Freedom of Information and Protection of Privacy Act (FIPPA), students’ images, names, program, degree/diploma/certificate earned and year of graduation as they appear in convocation programs and in webcasts are considered public information. Participants acknowledge that by attending convocation, their imagine and/or voice may be captured by photograph, videotape, audiotape, live webcasting and otherwise reproduced during the ceremonies. This personal information is collected under the legal authority of the Ontario Colleges of Applied Arts and Technology Act, 2002 and in accordance with Sections 38(2) and 41(1) of FIPPA.

Personal information will be broadcast through live webcasting for the purposed of enabling individuals who are unable to attend convocation to view the ceremonies. Any information captured through photograph, videotape or audiotape may be used for promotional, administrative, educational or research purposes. Personal information may be disclosed to outside service providers for processing and production.
