Testing Services proctors accommodated, missed or make-up and external tests.

Tests requests must be submitted three days in advance using this form. Tests must be completed during the hours set out by Testing Services. Please ensure the information you enter on the request is accurate. Testing Services staff are not responsible for incorrect information resulting in tests not arriving on time, rescheduling of tests and delaying the test request process. Priority will be given to students requiring test accommodations.

All testing procedures follow the college’s Test and examination regulations.

Accessible testing for students with disabilities

To be eligible for test accommodations, students must meet with a disability specialist at the start of each semester to obtain a letter of accommodation. This letter needs to be shown to each faculty member prior to requesting to write a test in the Testing Services office. If you have done this, you may continue with your request and complete the Accommodations test request form.

Missed or make-up testing

Students must obtain faculty approval for missed or make-up tests prior to submitting a missed/make up test request form.

Seats are assigned on a first-come, first-served basis. If the requested date or time is not available, the student is responsible for following up with their faculty and submitting a new test request.

Once approval has been granted, please complete the Missed/make-up test request form.

Missed/make-up tests or tests with accommodations must be written at the campus where you attend classes. We’re sorry but we cannot accommodate requests for alternative campus locations. Please ensure you follow the Testing Services regulations and check the hours of operation for missed/make-up tests. Remember also to check your Georgian email account for a response from us.

Health Occupation Aptitude Examination (HOAE) tests are booked on a first-come, first-served basis through Banner.

Read instructions on how to log in to Web for Admissions. You will be required to provide the following information at the time you book your test:

  • Program name(s)
  • OCAS application number
  • Georgian student ID number
  • Your phone number and email address
  • Credit card number, cardholder name and card expiry date (you’ll need to pay for your test when you book it)

How to reply and attach a test to a student’s test request

Instructions

Faculty can attach an electronic copy of the test to the test request reply email. In the reply e-mail, faculty are to complete information on the form before submitting the test. Any special instructions should also be included in the reply. Testing Services staff will then print off the test and provide any materials you have indicated in the form (paper, Remark). If you cannot find the original test request, you can send an email to Testing Services, including the student’s name, test information and attach the test. You can find Testing Services email contacts in the Contact tab.

No, a scanned copy of a test is only required if an electronic copy is not available. Tests can be sent as Word documents, pdf, Excel, etc. Instructions on how to scan your test to email are available on the Testing Services faculty information tab – “How to reply and attach a test to a student’s test request”

Accommodation tests (Approvals)

For accommodation tests, Testing Services requires tests to be received three business days in advance of the test date. Testing Services staff need time to format the test for use with adaptive technology.

A student with a disability has provided the required documentation pertaining to their disability and has registered with Student Success. These students may request to write a test in Testing Services as they may require accommodations such as extra time, a private space and adaptive technology. This is different from a missed test as students with accommodations are writing at the same time as the rest of the class.

There may be situations in which students will need to start their test earlier to ensure they receive their allotted extra time (time and a half). Students may speak to faculty directly about arranging a time that works for both the faculty member and the student prior to the test date.

Yes, you can send one test but please list all the names of students writing the test. Also, please provide all the necessary instructions for the test.

It is the college’s duty to accommodate students with disabilities, therefore their requests do not require approval. Faculty should receive a letter of accommodation indicating the approved accommodation and that the student has registered with Student Success. The student should be writing at the same scheduled time as the rest of the class, unless prior arrangements have been made with the faculty member.

Testing Services staff will email the faculty member stating that the student did not attend the scheduled test. This accommodation test now becomes a missed test. The student needs to seek approval from faculty for a missed test and make arrangements regarding the date and time before submitting another test request.

No. For accommodation tests, Testing Services requests three business days in advance to make arrangements for space concerns, adaptive software, etc. Students with accommodations however are required to submit the test request five business days in advance.

Missed tests (Approvals)

For missed or make-up tests, Testing Services requires tests to be received at least 24 hours in advance of the test date.

Missed tests are tests that a student has missed due to documented medical/family emergency situations or conflicting religious observance schedules. Faculty members grant approval to students wishing to write a missed test (Testing Services staff do not grant permission for missed tests).

Missed tests are written in Testing Services on a date pre-arranged by the faculty member and student and at the first available time established by Testing Services. Missed tests are written between 4 and 7 p.m. Monday to Thursday in Barrie and Orillia, and between 2 and 5 p.m. in Owen Sound. Seats are assigned on a first-come, first-served basis. If the date requested is full, the next available seat is assigned to the student. Missed test times are listed on the Testing Services website.

Testing Services follows the college’s policy on test and exam regulations which states that only documented medical/family emergency situations or conflicting religious observance schedules are grounds for special consideration. Requests for adjustments to prescribed examination or test dates must be made before the examination or test dates. As Testing Services is not aware of the reasons for a missed test request, approval is granted by the faculty member/co-ordinator. You have the discretion to approve each request. Testing Services allows only students who have been approved by faculty to write the test.

Testing Services staff will email you to inform you that your student did not attend their scheduled test. It is up to the faculty member whether or not multiple approvals are given for missed test requests.

No, for missed tests we request to have the test at least one business day in advance. Seats will be filled on a first-come, first-served basis during dedicated times and if a seat is not available, the next available seat on the next dedicated missed testing date will be reserved.

Use of email

Testing Services staff can communicate via Georgian, Laurentian and UOIT email addresses.

Testing Services staff work hard to ensure that all requests are received and processed correctly and strive to ensure that all tests are received before the test date. Faculty members are sent reminder emails if the test has not been received 24 hours before the scheduled test. Faculty are also sent confirmation emails when the test has been received.

There are times when an additional email may be required upon the initial receipt of the test request due to missing information, i.e., dates or times that are not congruent with class testing times. There may also be questions about the test itself if it appears to be missing important information.

Tests will be returned via Georgian email within a 24-hour timeframe. The intention is to return all completed tests as soon as possible, well before the 24-hour period. In Orillia and Owen Sound, hard copies will be delivered within two business days and in Barrie (B121), faculty can pick up their tests within five business days.

Printing and paper

When you reply to the test request, please specify this type of information in the special instructions section. Staff will not print double-sided if you have instructed them to print your test single-sided.

Many printers default to double-sided. If you want to print single-sided, follow these instructions: Click File, Print, Properties. Under two-sided printing, click on the dropdown menu and select One-sided print.

Yes. If you do not want Testing Services staff to print the test, please make this clear when replying to the test request. Please ensure you send the test to Testing Services as a Word document. Staff will save your test to a USB data storage device and the student can complete the test on the computer. Once the student has completed the test, it will be emailed back to you as a Word document. No printing needed at all and the test will be deleted from the storage device after it has been emailed to you.

We are aware that some materials may be difficult to scan. If this is the case, bring your materials to Testing Services. We will return the materials to you with the completed test.

Testing clarification/communication (students/faculty)

Accommodation students writing in Testing Services need to be privy to the same information that may be given to students writing in the classroom. All classrooms have telephones in the room that can be used in times like these. Simply call Testing Services and tell the staff the information to relay to the student OR request for a staff member to relieve you in the classroom, so you can come to Testing Services to give the information to your students directly. Alternately, you can also send the information/request for relief by emailing Testing Services.

Often times students need clarification for a question on a test. Testing Services staff may walk with the student to the classroom to seek assistance. Alternately, the student may keep writing in Testing Services while we try to contact you on campus. If you are in the classroom where the class is testing, Staff may “relieve” you so you can come to the Testing Services and speak with the student directly. If we cannot reach you, we would advise the student to indicate his or her query in the margin beside the question.

Confidentiality and security concerns

Testing Services staff ensure that the integrity and confidentiality of tests is maintained at all times. All tests are securely locked in Testing Services. All tests that are sent via email are deleted once they are printed. Testing Services staff in Orillia and Owen Sound will only deliver tests to your secure mailboxes. Testing Services staff in Barrie keep all tests locked up for pick up in Room B121.
